Add a New Site to the Site database

1. This tutorial shows how to add a new Site to the master Site database.
Only full-access administrators and users with the Site Admin permission can add new sites.
2. Users without this permission can request the addition of a new site by contacting their account administrator or submitting a request to support@refinsight.com.
3. To start, click the arrow next to Settings to expand the dropdown menu.
4. Click Sites
5. The page displays the Sites currently being used in Competitions and Schedules within the account. It is not a complete list of Sites within the master Site database.
6. Before adding a new site, confirm it is not within the master database. To see and search all Sites within the master database, click All Sites.
This step is crucial to avoid creating duplicate sites in the master database.
7. Let's search for Falzone Field as our example.
8. We can confirm there are no sites in the master database containing the word "Falzone".
9. Let's add this site to the database.
Click New Site.
10. Type Falzone Field in the Site Name area. Use proper formatting -- capitalizing the first letter of each word, then lower case.
Do not use ALL CAPS or all lower case characters, in order to ensure formatting is consistent throughout the database.
11. Select the Time Zone where this site is located.
For our example, Falzone Field is in the Eastern Time Zone.
12. Type in the main address of this site. Use proper formatting, abbreviate common items like Road, Street, Avenue, etc., and do not use any periods or commas.
These formatting rules simplify searches for other users and ensures consistency.
13. Type the name of the City.
Use proper formatting.
14. The Country name will default to United States. If your site is in a different country, select it from the dropdown.
15. The name of the country will adjust the dropdown list under State to display states or provinces accordingly.
Search and select the name of the state for this US-based Site.
16. Our example site is in Massachusetts.
17. Type in the Zip or Postal code for this site.
18. If this site uses a common Abbreviation, add it here.
19. If the Site is Also Known As another name, or has a legacy name, add it here.
Both Abbreviation and Also Known As (AKA) are included as search items throughout the database.
20. Add any other relevant notes for this site, such as parking instructions or specific location details.
This information is displayed to officials within their assignment.
21. Indicate if lights are available at this site or not by selecting it from the dropdown list.
22. In our example, no lights are available.
23. The Daylight Savings toggle indicates if this site is in a location that observes Daylight Savings Time.
It is important as it drives displaying the correct time for matches at this site when clocks change in the spring and the fall.
24. The toggle is defaulted to the right, meaning this site is in a location that observes Daylight Savings Time.
If the site is in a location that does not observe Daylight Savings Time (e.g. Arizona), turn this toggle off by moving it to the left.
25. Click Create when finished.
26. Our new site has now been created.
27. Our next step is to add verified fields to this site.
Verified fields allows consistency in field names from match to match. This list is displayed in many parts of the platform, including during the schedule import process.
28. To add verified fields to this site, click the magnifying glass next to it.
29. Click Edit Fields
30. A grid is used to add verified fields. Both a Field Name and Description can be added, which is visible during the field verification step of schedule imports.
31. Double-click inside the cell to edit it and add a field name. You can also click the Edit button above.
32. Since assignments already display the word "Field", there is no need to include the word "Field" here. Do not use symbols or extra characters like #, No., etc., which are unnecessary.

34. Remember that during the schedule import process, field names must be compared against this list, and corrected if necessary, to ensure they are part of the verified list and consistently named.

35. To make additional entries, click Add Row.
36. Adding Descriptions for subfields can be helpful.
Specific designations can be included in the field name if it is consistently named this way, or as a description if the naming convention is inconsistent.
37. Continue adding rows to complete the list of verified fields and descriptions.
38. Our list of verified fields is now complete.
39. Click Save when finished.
40. Our list of verified fields now displays on the right side of the Site page.
41. If you have created regions for your account and would like to add this new site to a specific region, select it from the dropdown in the Regions area.
42. Matches that use this site will display here.
43. Within a few seconds of creating the site, the system will complete the geocoding process and display a map where the site is located, with integrated directions.
This map and directions feature is displayed within officials' assignments in the app.
44. Click Cancel to return to the All Sites list.
45. Our new site and its verified fields have now been added to the master Site database.
