Pool Availability Summary

1. This tutorial shows how to use the Pool Availability Summary feature in the Assigning Workspace and as a planning tool.
2. The Pool Availability Summary can be used to filter and help prioritize assigning officials within a pool who have only partial availability on a particular date.
Filters for Available All Day or Not Available are other options.
3. To start, click the arrow next to Assignor Workflow to expand the dropdown.
Click Assigning Workspace
4. For our example, we'll focus on the MYSL Fall 2025 Competition.
If you prefer to select multiple competitions, use the gear wheel on the Matches side of the page to make your selections.
5. Let's populate the Officials side of the page to see how the Pool Availability feature works.
Click the gear wheel on the Officials side of the page.
6. For our example, we'll select the Waltham Youth Soccer pool. You can choose multiple pools for this step if you wish.
7. Select and double-click the pool name, or select and click the arrow to move this pool to the right side of the shuttle.
8. Scroll down to the Filter Pool by Availability Summary section.
Select a specific match date by clicking on the calendar.
9. For this example, we will select September 27 as the match date to focus on.
10. There are three options in the Pool Summary dropdown list: Available All Day, Available Partial Day, and Not Available.
Since we want to prioritize assigning officials who only have partial availability, we will select Available Partial Day.
11. Click Apply Settings
12. The Matches side of the page now displays all matches on our selected date.
13. The Officials side of the page now displays officials who only have partial availability for our selected date.
14. Select a blue cell to focus on a match role for a specific match.
15. Our pool has now been filtered to show officials who have partial availability for our selected date.
16. The assigning rules have been run for our selected match role, which is outlined in green.
Availability has been updated for the time of this match, and distances are calculated for each official from this match site.
17. By displaying the Availability Mode column, we can also see if the official is using blockouts (checkmark) or is declaring when they are available (lock icon).
18. Those with the lock icon may have less availability than those with the checkmark, so you may want to prioritize assigning those officials first.
19. Click the Match Availability column header if you want to filter this list to show only those officials who are available for the selected match.
20. Click the green arrow next to an official to assign them to the match, or drag-and-drop their name to the blue cell outlined in green.
21. Let's look at the other options for filtering our pool availability summary.
Click the gear wheel on the Officials side of the page to return to our filtering options.
22. Let's select the Available All Day option next. This option will filter our pool to show officials who are available all day (6am to 11pm) on the selected date.
23. Click Apply Settings
24. Our filter now shows officials who are available all day for the selected match.
25. Before checking the No Availability option, let's remove the available filter we set previously. Click the x on the right side of the filter to remove it.
26. Click the gear wheel to open the settings page again.
27. Click the No Availability option.
28. Click Apply Settings
29. The list now displays officials who are not available for the match selected.
These officials can still be assigned tentatively, but rule violations will need to be overridden in order for the assignment to be released.
30. To see why an official is unavailable, either click the number under Rule Issues, or click the word UNAVAILABLE.
31. A pop-up window will display the reason and details the official is unavailable.
In this example, the official has not declared availability for our selected date.
32. Click cancel to close the pop-up window.
33. To clear the date in the Pool Availability filter, click the gear wheel.
34. Click inside the Select a Specific Match Date area and delete the date.
Remove the Pool Summary filter by clicking on the blank row at the top.
35. These areas are now blank.
36. Click Apply Settings
37. Remove the date filter from the Matches side of the page by clicking on the gear wheel.
38. Delete the Start and End Dates to show all matches within the Competitions selected.
39. All matches in this Competition are now displayed again.
40. If you want to prepare a Pool Availability Summary report for planning purposes outside the assigning workspace, click Availability then Pool Avail Summary in the menu.
41. If you want to see this page in a separate tab of your web browser, right-click Pool Avail Summary, then click Open Link in New Tab
42. A User Guide is available at the top of the page. Click the arrow next to the User Guide to expand it.
43. A summary behind the approach and how to use the tool within this page is shown.
44. Click the arrow next to User Guide again to collapse it.
45. The first step is to select the relevant Match Date. Click inside the Date field to open the calendar.
46. The Window Start and End times default to 8am and 10pm respectively. Adjust these items as necessary by selecting the relevant times from each dropdown.
47. Select the relevant pool from the dropdown list. For this example, we will select the Waltham Youth Soccer pool again.
48. Click Generate Availability Report.
49. The pool of officials is now displayed, showing their availability method, availability status, available times, and blocked times.
50. The interactive menu allows you to set up this report in different ways, such as using control breaks to group the list by availability status.
There are also other columns you can display.
51. To view additional columns for this report, click Actions, then Columns.
52. Double-click any item on the left side of the shuttle to move it to the right side and display it in the report.
53. Or change the order of the columns displayed by using the arrows.
54. Click Apply when finished.
55. Our report display is now updated. Save the report if you want to access it in the future, by clicking Actions, Report, then Save Report.
56. Let's adjust the Window End to 12pm to narrow down our window and apply some filters and sorting.
57. Click Generate Availability Report
58. Click the column header to filter for a particular status.
59. Here we set a filter to focus on those officials who are partially available.
60. Our report shows the times the official is available and when they are blocked.
61. To Edit the Filter, click inside it.
62. We can select a different status here
63. Let's filter for officials available for the entire 8am to 12pm window we set above.
Click Apply
64. Or we can filter for multiple availability statuses.
65. Click Operator
66. Choose in as the Operator, which is the same as the or operator. Click each relevant availability status. The system will automatically insert commas between them.
Our filter shows officials either all or partially available.
Click Apply
67. Sort any column ascending or descending by clicking the column header and clicking the up or down arrow.
68. If you wish to download the report to use offline, or while you're assigning, click Actions, then Download. Choose your download format, then click Download.
