Revised assignments due to Match Modifications and Overlap Protection

1. This tutorial shows how assignments are handled in the officials portal when match details change after the assignment has been accepted.
2. In the officials portal, click Assignments
3. When a match's date, time, or location changes, assignments in accepted status are changed back to assigned status, and officials are asked to re-accept or decline the match.
4. This change applies for schedules set to require re-acceptance when a match has a date, time, or location change.
5. These assignments now go to a new section of the Assignments area of the officials portal, marked Pending/Revised so it's easy to tell them apart from new assignments.
Click Pending/Revised.
6. Officials can see exactly what changed, showing the before and after details. In this example, we can see the date changed from October 20 to October 22.
7. The changed assignment can be accepted or declined as usual if there are no overlapping assignments the official has already accepted.
Click the orange icon.
8. The top section shows the previously accepted match has been modified, as well as the details, and instructs officials to either re-accept the match or decline it.
9. Officials can contact the assignor directly from this page if necessary.
10. In this first example, there are no overlapping assignments.
11. Officials click Accept if they can work this revised match, or Decline if they are not available for it.
12. Click Cancel to return to the Assignments page.
13. The assignment is now within the Accepted section.
14. If a revised assignment was part of a bundle, it is removed from the bundle and becomes a standalone assignment. The rest of the bundle is not affected.
15. Any bundle with only one assignment is dissolved automatically, and the assignment becomes standalone.
16. For this next example, we created an overlapping assignment by revising a different match at the same time as the assignment that was just accepted.
In the assigning portal, the modified match shows an overlapping assignment was found.
17. Assignors can click Assignment Overlaps Report to view these two overlapping assignments.
This report can also be accessed in the assigning portal through Reports - Overlaps.
18. To filter this report by assignor, click Assignor to expand the dropdown.
19. Click the assignor's name.
20. The name of the official is shown here.
21. The date of the overlap is shown here.
22. The first match example we saw is the currently accepted match.
23. Since that time, a second match that had an accepted assignment by the same official was revised, causing an overlap. This second match now appears as a revised match for that official, in the officials portal.
24. We are now back in the officials portal, and the second revised match appears in the Pending/Revised area.
25. The date change appears within the overview.
26. Click the orange icon.
27. The modification is also shown here.
28. Officials can not accept an assignment that overlaps with another match they have already accepted.
However, if the assignor has approved the overlap by providing a justification when assigning, the official can still accept the match.
29. They will see which match they have already accepted under the Overlapping Assignments area.
30. Since this overlap was not justified by the assignor, the only option for the official is to Decline this second match. They can contact the assignor prior to declining with any questions.
31. Officials type in a reason when declining. Assignors are notified of declines, with the reason stated.
Declines are also displayed in the assigning workspace and available in the Declines report.
32. Officials click Decline Assignment after inputting their reason.
33. Officials can also see all their Declines from the Assignments page.
34. The declined assignments report shows the match details and reasons for the decline.
