Assigning on Mobile Devices via the Matches page

1. This tutorial shows how to assign a match on a small screen such as a mobile device as an alternative to using the assigning workspace on a laptop.
This option is useful for quick updates using your phone or your laptop.
2. Using the web browser on your phone, go to the Ref Insight Assigning Portal and sign in using your credentials.

3. After signing in, you will be on the homepage. For this example, we will use a demo account called Michigan Referee Program.
Click the menu expander at the top left of the page to display the menu.
4. Click Matches.
5. Use the filters on the left side of the page to help find the relevant match. For this example, we will start with a filter for matches in September 2024 under Month.
The Actions button can also be used to filter matches or display relevant columns.
6. If you know the Competition the match is in, click Competition to help filter the matches list.
7. For this example, we will filter the matches for the MUSA Fall 24 KSSL - Demo competition.
8. If you don't know the Competition, it can be left blank and we can filter matches by date instead. Click Start Date and choose a date in the calendar.
9. We can also use a combination of filters, such as date and Competition together. Click Competition to expand the dropdown list.
10. For this example, we will stick with the Competition called MUSA Fall 24 KSSL - Demo.
11. If you know the Site of the match and want to add it as an additional filter, click the column header Site to see what sites are listed for these matches.
12. For this example, we will choose Lake Reba Park as the site of interest.
13. Once the relevant match has been located, click the magnifying glass next to the match.
14. Click the Assign button.
15. Basic information about this match is displayed in the top row. To see additional details about this match, click the arrow next to Details to expand it.
16. Additional details are displayed. Click the arrow again to collapse the Details area.
17. For this match, there are no current assignments.
The match roles associated with the schedule appear under the New Assignment area.
18. Let's add a Referee. Click the Referee role to highlight it.
Now we will pick a pool. Click Pool to expand the dropdown list.
19. For this example, we will choose the MI List of Officials pool, which has 188 officials. Click the pool name.
20. Click the Load Officials & Run Rules button. This action will display the officials in the pool and run the assigning rules associated with this schedule and any global assigning rules that are being used.
21. By default, the Availability column is already filtered to only display available officials. Uncheck the box on the left of the filter to also see unavailable officials. We will explore this option later in the tutorial.
22. Other columns are available for display via the Actions button. Click the orange check mark next to the name of the official to place in the Referee role.
23. Click OK to confirm the selection.
24. Our selection is added to the Assignments area in tentative status.
25. Repeat these steps for the AR1 role. Click AR1 to highlight the role, then click the Load Officials & Run Rules button.
26. Select the official by clicking the orange check mark next to their name.
27. Click OK to confirm the selection.
28. Repeat these steps for AR2.
29. You can use the search bar at the top of the list if you have a large pool.
30. Type the person's name or part of their name in the search bar and click Go.
31. Select the relevant official.
32. Click OK to confirm the selection.
33. Remember to remove the filter we used to search for a specific official by clicking the x to the right of the filter.
34. We now have a crew of officials, each in tentative status. Each assignment can be released by clicking the magnifying glass next to the person's name.
35. Click Release Assignment to change the status from tentative to assigned.
36. Click Release Assignment to confirm.
37. A confirmation banner appears at the top right of the page. If you also want to accept the assignment on behalf of the official, click Accept.
38. Click Accept to confirm.
39. A confirmation banner appears at the top right of the page. Click the Cancel button to return to the previous page.
40. Repeat these steps to release the assignments for AR1. Click the magnifying glass next to the person's name.
41. Click Release Assignment.
42. Click Release Assignment again to confirm.
43. We will leave this assignment in Assigned status. Click Cancel to return to the previous page.
44. If you change your mind about an official selected, remove them by clicking the garbage can next to their name.
45. Click OK to confirm.
46. Choose a new official to replace the official that was removed. Click Load Officials & Run Rules to refresh the list.
47. Click the orange check mark.
48. Click OK to confirm.
49. Click the magnifying glass to release the assignment.
50. Click Release Assignment.
51. Click Release Assignment again to confirm.
52. We will leave this assignment in Assigned status. Click Cancel to return to the previous page.
53. This match has now been assigned and we have accepted the match on behalf of the referee.
If you are comfortable with the process, you can stop here.
54. To see how to Assign other Matches and an example of overriding an assigning rule violation, continue with this next section of the tutorial.
Click Assign other Matches to make or adjust assignments on other matches.
55. Use the filters to change Competition, Schedule, Site, or Date.
56. For this example, we will go to a different Schedule within this Competition and change the Match Date to 09/22/2024.
57. For this example, we will choose MUSA F24 KSSL-U13/14 as the new schedule.
58. Click on Match to see the matches in this schedule on this particular date across all sites.
59. Click on the relevant match to select it.
60. Click Apply when finished.
61. In this example, AR1 did not accept the match and needs to be replaced. Click the garbage can next to their name to remove them.
62. Click OK to confirm.
63. Since the assignment was previously released, the actual status of the assignment is revoked.
64. To replace AR1, highlight that role under the New Assignment area, choose your pool, and click Load Officials & Run Rules.
65. Select the official by clicking the Orange check mark.
66. Click OK to confirm.
67. The new official is now in tentative status as AR1. Click the magnifying glass to release the assignment.
68. Click Release Assignment.
69. Click Release Assignment again to confirm.
70. If you want to accept the assignment on behalf of the official, click Accept.
71. Click Accept again to confirm.
72. Click Cancel to return to the previous page.
73. We will look at another match assignment where an assigning rule violation needs to be overridden for our selection.
Click Assign other Matches to select a different match.
74. The match we want is in this schedule but is being played on 9/29/2024.
75. Select the Date from the calendar.
76. Click Match.
77. Select the match from the dropdown list.
78. Click Apply.
79. In this example, the Referee was in tentative status but will be assigned to a different match and needs to be replaced. Another example could be an assignment in declined status that needs replacing.
80. In this example, we have an official in mind that we want to use but think they may have a blockout in place.
To see officials that are UNAVAILABLE, uncheck the box next to Availability - 'available' to temporarily turn off the filter.
81. The official we have in mind does have a blockout, but after speaking with the official, they indicate that they are willing to do the match.
82. Click the orange check mark next to their name to select them.
83. Click OK to confirm.
84. The official we selected is in tentative status. Note the Yes under Rule Issues, meaning the violation will need to be overridden before the assignment can be released.
85. Click the magnifying glass next to the person's name.
86. In the Assigning Rule Issues area, the issue is listed.
87. Click the magnifying glass to override this assigning rule issue. Note the assignment can not be released until all assigning rule issues are resolved.
88. The Blockout assigning rule is usually set to allow assignors to override violations. Check with your account admin if the justification text box does not appear in this area.
89. Type the justification for overriding this assigning rule issue.
90. Click Save when finished.
91. The justification now displays, along with the name of the person who overrode the rule issue and the date & time of the override. The Release Assignment button will now display.
92. Click Release Assignment.
93. Click Release Assignment again to confirm.
94. You can accept the assignment on behalf of the official if you like by clicking the Accept button. Otherwise, click Cancel to return to the previous page.
95. There is no longer a Rule Issue for this official.
96. Click Cancel to return to the Match Details page.
97. Click Cancel again to return to the Matches page.
