Bulk Justification of Assigning Rule Violations

69 STEPS
1. This tutorial demonstrates the new Bulk Justification feature for Assigning Rule violations.
Full-access admins and assignors can use this feature as per the permission settings within the global assigning rules.
2. Let's look at some example settings in the global assigning rules.
Click the arrow next to Settings to expand the dropdown.
3. Click Assigning Rules (global)
4. Global assigning rule settings are controlled by full-access administrators and are organized by Match Role.
In this example, the rules have been made the same for the Referee, AR1, and AR2 match roles, so we will use the Referee as our example.
5. Each global assigning rule has separate override permission settings for:
Override Admin - Full-access admins,
Override Assignor - Assignors who are not full-access admins, and
Override Self-Assign - Officials when self-assigning
6. These settings are configured by each accounts' Full Access Administrators.
The settings shown here are only an example. The settings in your account may be configured differently.
7. The USSF ID Required rule means the official must have this ID in their profile.
In this example, Override Admin is set to Yes and the others are set to No. These settings mean that only a full-access admin can override violations.
8. The Blockout rule means the system will check for any blockouts for this official.
In this example, all are set to "Yes". These settings mean that a full-access admin, an assignor, or an official who self-assigned can override violations.
9. The Already Assigned at this Time rule means the system will check for any overlapping assignments.
Here, both a full-access admin and an assignor can override violations.
10. These settings determine which violations will appear within the bulk justification area for each user.
Assignors will only see violations for rules (for each role) they have override permissions for.
Full-access Admins will see all violations.
11. Let's go to our assigning workspace to see how to justify violations in bulk.
Click the arrow next to Assignor Workflow to expand the dropdown.
12. Click Assigning Workspace
13. The names visible in this tutorial are fictional.
Assignments in pink have violations.
Click a cell to see the violations in the assignment focus area at the top of the page.
14. The active cell (Steven Evans) is outlined in yellow.
This official does not have a Referee License.
15. The Rule Issues Details column on the Officials side of the page can display violations for the active cell.
Clicking UNAVAILABLE or the number under Rule Issues will display a pop-up window with violations for the active cell.
16. Some assignments may have multiple violations.
17. Some violations may apply to multiple officials.
18. Previously, violations had to be justified individually.
Bulk Justification allows admins and assignors to select multiple violations and justify them simultaneously.
Let's look at some examples.
19. Click the Bulk Justification icon on the Matches side of the page.
20. A short guide is displayed here.
The table only displays assignments that: a) have violations but no justification, and b) you have permission to override.
Once a justification is provided, the assignment will no longer appear in this list.
21. The report display defaults to a control-break by Reason, meaning the assignments are grouped by the Violation Reason.
We will look at other display options later in the tutorial.
22. These assignments have Background Check violations.
23. These assignments have Referee License violations.
24. To select all the assignments under a specific reason, click the checkbox in the header row of that section.
For this example, we will select all the Background Check violations.
25. The Select all can be used when we have the same justification for all the assignments selected.
26. Click Justification
27. Type in the Justification. This justification, the person who entered it, and the date will appear in several areas of the platform as documentation.
28. Click Save Justification
29. Click Save Justification again to confirm this action.
30. The assignments with a Background Check violation have now been cleared from this list.
31. The interactive menu works as in other areas of the platform.
If you want to filter for one item within a column, click the column header. For example, click Official to focus on a specific official across reasons.
32. For this example, let's focus on Ronald Clark.
33. All the violations for this official are now displayed.
34. Remove the filter by clicking the X next to it.
35. If you want to change the control-break variable, click inside the cell to Edit it.
36. Click Column 1
37. Let's click Official.
38. Click Apply
39. If you have different justifications for different rules, you can select assignments accordingly.
40. Select the assignments that apply to the justification that will be entered.
41. Enter the justification and click Save Justification
41b. Click
42. Click Save Justification again to confirm the action.
43. Control breaks can be made on any column or on multiple columns.
Click Edit Control Break.
44. Click Column 1
45. Click Reason
46. Click Column 2
47. Click Official
48. Click Apply
49. Assignments are now grouped by Reason, then Official.
50. If you have a display option you will use repeatedly, remember that you can save the display settings as a report by clicking Actions, Report, then Save Report.
51. Name your report and click Apply.
51b. Click
52. Let's now see what the Assigning Workspace looks like after all the justifications have been entered for this official on these two matches.
53. Click Assignor Workflow, then Assigning Workspace.
54. Notice that the cell has now turned blue and this tentative assignment can now be released.
The violations that were found and the justifications entered are listed within the assignment focus area.
55. The Bulk Justification page can be accessed from multiple areas of the platform.
One area is Tools. Under Assignor Workflow, click the arrow next to Tools to expand the dropdown.
56. Click Bulk Justification
57. The Primary Report will be displayed. Change it to one of your Saved Reports if you like or proceed with justifications.
58. The Bulk Justification page can also be accessed from the Rule Violations Report.
Click the arrow next to Reports to expand the dropdown.
59. Click Rule Violations
60. To find Unresolved rule violations, set a filter for Violation Status = 'Unresolved'
61. You can still override a single violation by clicking the magnifying glass.
62. Click the magnifying glass under the Assigning Rule Violations section.
63. Type in your justification and click Save.
63b. Click
64. Click Release Assignment if you want to release the assignment.
65. Click Release Assignment again to confirm this action.
66. Click cancel to return to the Rule Violations report.
67. To justify violations in bulk from this report, click the Bulk Justification button at the top right of the page.
68. You will be brought to the Bulk Justification page.
Thank you for watching the tutorial on Bulk Justification of Assigning Rule Violations.
69. That's it. You're done.
