Intro to the Assigning Workspace: Making and Releasing Tentative Assignments

1. This tutorial demonstrates how to make and release tentative assignments in the Assigning Workspace.
2. To start, click on the arrow next to Assignor Workflow to expand the dropdown.
3. Click Assigning Workspace
4. There are two sections to this page:
Matches on the left and Officials on the right.
To select matches to load, click the gear icon at the top of the Matches section. This will open a new toolbar that slides in from the right.
5. Select one or more Competitions in the list.
6. Click the arrow to move it from the left to the right side of the shuttle. You can also double-click the selection to shuttle it to the other side.
7. For Competitions that have multiple schedules, they will appear in the Schedules list. If you only want specific schedules from a Competition, select and move them to the right side.
8. Click the arrow to move your selections.
9. Selecting the Competition includes all the schedules within that Competition.
10. Click the arrow or double-click the selection to move it to the right side of the shuttle.
11. Select the relevant match roles and move them to the right side of the shuttle in the same way.
12. To only include matches for specific dates from our selected Competitions, set a date range at the top of this page.
13. For our example, we will focus on matches for these two Competitions between January 1 and 31, 2026.
Select the dates from the calendar.
14. Click the relevant Start and End Dates.
15. Click Apply Changes when finished.
16. To choose the columns you want to display in the Matches section, click the Columns icon.
17. Select or unselect the relevant columns to display by clicking inside the box next to the item.
18. Click Apply Changes when finished.
19. Now let's select the relevant pools for these matches on the Officials side of the page.
Click the gear icon.
20. You can select one or more pools to populate the list. This technique is helpful if you have separate pools for specific match roles or for the Competitions you previously selected.
21. Double Click or use the arrow to move your selections to the right side of the shuttle.
22. For this example, we will choose both the Father's Day Cup and Demo pools.
23. You have the option of showing the distance of officials from the match location in Miles, Kilometers, or in Drive Time. For this example, we will show distance in Miles.
24. Click Apply Settings when finished.
25. The officials displayed here are fictitious.
To select which columns to display in the Officials section, click the Columns icon.
26. Select or unselect the columns you want to display by clicking inside the box next to the item.
27. Click Apply Settings when finished.
28. We are now ready to assign our matches.
29. For this demo, we will focus on the Lakeville Father's Day Cup. Click the Competition column header to filter the Competition list.
30. Click Lakeville Fathers Day Cup
31. Click the blue cell for the match and role you want to assign. Clicking the cell updates availability, compliance with assigning rules, and calculates distances for each official instantly.
32. There are two ways to tentatively assign an official: Drag-and-Drop, or Direct Assign.
To drag-and-drop using your mouse, click and drag an official's name, then drop it on the match role you selected.

33. The official is now tentatively assigned to this match as AR1.
34. Click on the next match role to update availability and assigning rules.
To Direct Assign, click the green arrow next to the official's name.
35. This official is now tentatively assigned to this match and role.
36. If one or more assigning rules are violated, the cell will turn pink. This assignment cannot be released until all violations are overridden and justified.
37. Assigning rule violations are listed at the top of the page within the Assignment Focus area.
38. You can enter overrides and justifications for this specific assignment through the assignment focus area, or override multiple violations for one or more officials through the bulk justification tool.
Click the checklist icon to access this tool.
39. For this example, we will select all the assigning rule violations for Ronald Clark by clicking the boxes next to his name.
To select all under a specific reason, click the top box.

42. The Justification we enter will apply to all the selections made in the previous steps.
43. Type in the justification and click Save Justification.
44. Confirm this action by clicking Save Justification again.
45. Click cancel to return to the assigning workspace.
46. The cell with Ronald Clark is now blue, indicating the assignment can be released.
47. The Violations area also displays the justifications entered in the previous step.
48. To release assignments, click the arrow icon.
49. All assignments displayed on this page are in tentative status and ready to be released. Use the interactive menu or click a column header to filter items selected for release.
50. For example, you may want to select only specific competitions, officials, match roles, sites, or dates.
51. Click any column header to filter for one item. For this example, we will narrow our list to matches from the Lakeville Fathers Day Cup.
52. We'll also filter this list to one official: Ronald Clark
53. Click the top box to select all rows displayed.
54. Click Release Selected Assignments
55. Confirm this action by clicking Release Selected Assignments again.
56. Click cancel to return to the Assigning Workspace.
57. The icon next to Ronald Clark's name has now updated from tentative to assigned.
