Override Request Notifications to Full-access Administrators and Bulk Justification

1. This tutorial reviews the assigning rule violation Override Request feature.

Override requests are made by assignors to full-access administrators when an assignor does not have permission to override a rule violation but deems it necessary.

2. When an assignor makes an override request, all full-access administrators on the account are notified via email.

Any full-access administrator can approve the request by justifying it in the Bulk Justification area.

3. Override requests for match assignments that are more than two weeks old will automatically disappear from the list.

4. Let's start by reviewing how an assignor requests an override for a rule violation they do not have permission to override themselves.

5. Click the arrow next to Assignor Workflow to expand the dropdown and click Assigning Workspace.

6. All names in the assigning workspace are fictional and do not represent real individuals.

In this example, the assignor has assigned Brian King to a match. The pink cell means an assigning rule has been violated.

7. The top row displays the assignment, along with the assigning rule violations that have been discovered.

For this example, Brian is missing a referee license, background check, and SafeSport certification.

8. Before the assignment can be released, the rule violations must be justified.

Click the magnifying glass to access the assignment.

9. The assigning rule violations are listed here.

10. Click View Assignment

11. Click the magnifying glass next to the rule violation to see if the assignor has permission to override it, or if an override request needs to be made.

12. If the assignor does not have permission to override this specific assigning rule, an override request must be made to full-access administrators.

13. Click Request an Override

14. Fill in the area to explain why this violation should be overridden.

15. Click Save after typing in the override request reason.

16. Click the cancel button to return to the previous page.

17. Repeat these override requests for each rule violation requiring full-access administrators to justify.

18. When the request is made, all full-access administrators will receive an email notification from Ref Insight, with the assignor's name and account displayed.

19. The link within the notification takes the full-access administrator to the Bulk Justification area of the Admin and Assigning portal.

20. Within the Bulk Justification Tool, columns that indicate a request was made, the request details, and who requested the override are displayed.

21. Click the Override Request column header to filter the items so only requests are shown.

22. Click Yes

23. The report is defaulted to grouping the violations by Reason. This grouping can be removed or changed as you wish using the interactive menu.

To select all the items under a Reason, click the radio button in the header row.

24. If the same justification will be used across reasons, select them all.

25. In this example, we will use the same justification reason to approve all the requests.

26. Type the reason for these overrides in the Justification area.

27. Click Save Justification when finished

28. Confirm this action by clicking Save Justification again.

29. To view assignments that have been justified but are Pending Requirements, see the report.

30. Back in the assigning workspace, we can see that Brian King's assignment is now in blue and ready to be released.

31. All assigning rule violations have been justified, with the reason displayed here.
